Evidence scope and limitations

ChoiceMosaic has not performed hands-on use of either product. This comparison uses public official pricing, product, help, terms, and partner pages reviewed September 8, 2026. It does not measure usability, reliability, deliverability, support quality, conversion, or learner outcomes. Those remain Not tested.

Prices and packaging can change. systeme.io's current official pages disagree on several non-contact plan limits. Kajabi's current and legacy partner pages disagree on commission treatment. Both are retained as OFFICIAL_SOURCE_CONFLICT andHUMAN_OR_MERCHANT_CONFIRMATION_REQUIRED, not silently resolved.

Three conditional verdicts

Budget launch

Start with systeme.io Free or Startup when its contact and resource limits cover the launch. Keep every unknown external-tool cost in the model until the real workflow has been tested.

Consolidated growth

Compare systeme.io Webinar or Unlimited with Kajabi Growth using actual contacts, products, communities, team users, automation, checkout, and integration needs. A lower modeled bill is not proof of equal capability.

Premium branded operation

Shortlist Kajabi Pro when multiple sites, higher contact capacity, or its public API matters. Treat code-editor and branded-app entitlement and pricing as separate requirements to verify before purchase.

Keep subscription, platform fee, processor fee, add-on, labor, migration, tax, and affiliate economics on separate lines. systeme.io advertises 0% platform transaction fees. The retained Kajabi evidence does not establish plan-specific third-party-provider or processing rates for this comparison, so verify both against the live pricing page and checkout for the account country and provider.

Use the systeme.io stack cost calculatoronly with explicit replacement assumptions. Only mark a current tool as replaced after your trial confirmsits real workflow, data, and service boundary. Use theTotal Cost Calculator for broader costs.

Choose systeme.io when

  • The applicable contact and resource limits cover the operation at a lower fixed cost.
  • Funnels, email, automation, checkout, course delivery, and a basic community can be validated in one trial.
  • Its broad public API surface or assisted inbound migration materially reduces your remaining stack.
  • A branded native community app is not a requirement.

Choose Kajabi when

  • Courses, coaching, communities, podcasts, newsletters, and downloads must share one customer experience.
  • Growth's advanced automations, webhooks, or larger published admin-user allowance qualify the plan.
  • Pro's public API or multiple sites justify its price; code-editor and branded-app entitlement and pricing are verified separately before purchase.
  • Your trial proves the checkout, community, reporting, export, and migration workflows you actually need.

Email, funnels, pages, and automation

systeme.io documents broadcasts, campaigns, tags, segmentation, funnels, pages, automation rules, and workflows, with unlimited email sends advertised across plans within the applicable contact limit. Its official pages conflict on several funnel and automation allowances, so verify the account's current plan matrix rather than assuming a marketing summary is exact.

The retained Kajabi evidence establishes automation logic and plan gating: Basic receives basic automations, while Growth and Pro receive advanced conditional automations. Other marketing-tool coverage remains unverified here. Published feature presence does not establish sender reputation, inbox placement, workflow completeness, or operating effort.

Courses, memberships, communities, and creator products

systeme.io documents courses with modules, lectures, hosted media, drip access, quizzes, bundles, enrollment, and progress tracking, plus hosted communities. Kajabi packages six product types—courses, communities, coaching, podcasts, newsletters, and downloads. This broader product list does not by itself prove better instruction, engagement, moderation, mobile delivery, or learner outcomes. The retained official source set also does not establish equivalent certificate, assessment, or SCORM behavior; treat each as a trial requirement if it matters to the purchase.

If community is the primary product, also read thecourse-first versus community-first guide, the Skool research brief, and theLearnWorlds research brief.

Checkout, subscriptions, payments, and tax

The retained source set does not establish checkout-feature parity for one-time sales, subscriptions, payment plans, coupons, or upsells. systeme.io documents multiple processors whose country, currency, recurring-payment, payout, and fee availability varies. Kajabi's native payment service is not currently listed for a Japan-based business. A processor label is not account approval.

Neither platform's feature page establishes complete Japan consumption-tax, filing, qualified-invoice, banking, or payout handling. Confirm these with the chosen processor and professional advisers; this comparison is not tax or legal advice.

Customer affiliate management and publisher economics

Customer-facing affiliate-management features are separate from publisher programs that might compensate ChoiceMosaic. Their product entitlements and operating depth were not established by the retained source set and must be checked independently.

No affiliate link is active here. systeme.io's current agreement states 60% for eligible transactions, with eligibility, attribution exceptions, tax responsibility, and rate-change rights controlling. Kajabi currently says applicants must be active customers and describes tiered bounty or recurring rates, while legacy official pages still advertise 30% lifetime commission. That Kajabi conflict is not used in the editorial verdict. Under the current owner policy, Kajabi remains excluded because active customer status is required and the verified payout path is PayPal-only.

Branding, website, mobile, and customer experience

The retained systeme.io evidence establishes that it lacks a branded native community app. It does not establish custom-domain, branding-control, or White Label capabilities for this comparison. The retained Kajabi source set does not establish code-editor access, branding-removal boundaries, or which plan includes a branded app and at what price; treat all of those entitlements, app-store accounts, launch work, ongoing fees, and exact surfaces as purchase-time checks.

Integrations, API, webhooks, SSO, and team operations

systeme.io documents a public API spanning contacts, email, funnels, prices, courses, communities, automation, subscriptions, webhooks, products, and offers. Kajabi includes its public API with Pro or offers it as a $25/month add-on; Growth and Pro receive webhooks. Kajabi Zapier plan entitlement remains unknown in the retained evidence. Endpoint coverage and rate limits must be tested against the intended workflow.

Kajabi's current help center states that SSO is not supported, and published plans allow 2, 11, or 26 admin users. Role granularity remains unverified. Do not confuse Google sign-in with organization-controlled SAML or OIDC SSO. systeme.io SSO and fine-grained team-role parity were not established by this review.

Reporting, support, and migration assistance

Reporting coverage, metric definitions, and accuracy were not established by this review. Kajabi support hours and channels also remain unknown in the retained evidence. Its help center says free in-house migration is not currently offered and that migration is manual. systeme.io offers assisted inbound migration with Unlimited monthly or any annual plan for a documented set of assets. Neither statement proves support quality or a guaranteed timeline.

Cancellation, export, and portability risks

The retained source set does not establish a one-file export that reconstructs the complete business on another service. systeme.io documents contact CSV export, not a complete account, funnel, course, community, automation, file, subscription, or student-progress export. The retained Kajabi source set does not establish contact or content export mechanisms, while its migration guide says an outside-platform move is manual. Treat outbound portability as unknown until the required exports are verified in the account.

Kajabi says cancellation ends site and member access at the billing-period end and customer data may be deleted 90 days after termination. The retained source set does not establish systeme.io's subscription, downgrade, refund, or retention effects; treat them as unknown until they are verified. Before leaving either platform, inventory contacts, purchases, subscriptions, progress, media, domains, email, automation, integrations, tax records, and the reconstruction steps.

Trial and migration checklist

  1. Build one real funnel, form, sequence, automation, checkout, refund, and subscription.
  2. Build one representative course, quiz, drip rule, community space, event, and coaching offer.
  3. Verify the intended Japan processor, currency, payout, tax, refund, and banking flow.
  4. Exercise every required API endpoint, webhook, Zap, role, domain, and mobile surface.
  5. Export representative contacts, sales, progress, content, and media; rehearse reconstruction.

Unknowns and hands-on limitations

  • No hands-on product, support, checkout, migration, deliverability, or performance test was performed.
  • systeme.io's conflicting non-contact limits require checkout or account confirmation.
  • Japan-specific processor acceptance, payout, banking, tax, and jurisdiction outcomes remain account-specific.
  • systeme.io SSO and fine-grained role equivalence were not established.
  • Whole-business reconstruction time, data loss, and operating labor remain unknown.
  • Kajabi publisher commission terms conflict across current and legacy official pages.
